Wrong or Missing Auto Parts Before Shipping

Freight Guide Published Oct 7, 2026 Updated Oct 17, 2026

A label differs from the order, or a photograph appears to show fewer parts than expected. Before asking anyone to send the shipment, establish what was ordered, what has actually been received and which decision remains open. A short, organised discrepancy report gives the supplier and shipping provider something specific to investigate.

Quick answer

Before shipping, write a short discrepancy report: what you ordered, what was received or shown, and which decision is still open. Ask the supplier to confirm or correct it, and ask whether the shipment can be held. Update the shipping information after the decision, and send JTLGO the report so the pre-shipment question is specific.

For this step, see Quality inspection scope in China.

The immediate priority is to contact the party controlling the goods and ask whether further processing or dispatch can be paused. A message requesting a hold does not prove a hold has taken effect. Confirm the current stage, whether intervention is still possible and any resulting deadlines or costs.

This guide provides a suggested decision process. It does not establish a JTLGO stop-shipment service, inspection package or refund entitlement.

Start with the agreed order version

Find the latest accepted quotation, purchase confirmation or item list. A product screenshot from an earlier conversation may show a different version from the final order. Identify the document and date that recorded your choice, including any substitution you accepted afterward.

For the affected line, record the requested part number, quantity, unit and relevant variant. Clarify whether “two” meant two individual items, two pairs or two complete kits. Include left or right side, front or rear position and any expressly agreed accessories.

If the purchase record itself is ambiguous, say so. The next step may be agreement on what the order meant, rather than a conclusion that somebody shipped the wrong goods.

Describe the observation without extending it

Keep three things separate: what the evidence shows, what you suspect and what you need confirmed.

“The visible label reads ABC-02; order line 4 specifies ABC-01” is a useful observation. “The supplier sent an incompatible part” is a further conclusion that may need technical verification. Updated part numbers sometimes require an explanation from the supplier or manufacturer; visual similarity is not enough to establish equivalence.

Likewise, one photograph showing three items does not prove a fourth is missing. Ask whether the image covers the full order, whether another parcel is pending and whether the agreed counting scope included sealed inner packs. Do not treat a parcel count as a contents count.

Build one discrepancy card

Use a separate row for each affected order line. This worksheet is a suggested format, not an existing JTLGO case-management feature.

Field Information to record
Order reference Supplier, order number and latest agreed list version
Affected line Part number, variant, quantity and counting unit
Expected result What the purchase confirmation actually specifies
Observed result Exact label difference, recorded count or visible issue
Supporting files Readable item label, relevant photo and package reference
Evidence limits Unopened packs, incomplete photo coverage or unknown arrivals
Current location Supplier, warehouse or other last confirmed handling stage
Requested decision Clarify, replace, complete, split or another proposed option
Reply and owner Who will answer each unresolved question and when

Keep original images and messages. If you annotate a copy, retain the original so the relevant parties can distinguish the source evidence from your explanation. Avoid sharing unrelated order details when sending the card to one supplier.

Ask about a hold precisely

Contact the appropriate service provider through the verified order channel. Name the order and affected lines, and ask whether packing, consolidation or onward dispatch can be paused. Explain whether the question concerns one item or the entire shipment.

Request confirmation of what has actually stopped, what is already completed and whether there is a decision cutoff. Ask about storage, handling, unpacking or booking-change charges before choosing a prolonged delay. If a hold is unavailable, ask what options remain at the shipment's current stage.

Keep the supplier informed separately when it needs to resolve the product issue. The warehouse may be able to report a label or quantity without having authority to accept a return, approve a replacement or determine vehicle compatibility.

Compare workable options

The supplier's response should make each option concrete enough to evaluate.

Proposed option Questions to resolve before approval
Clarify the identifier What evidence connects the received number to the ordered specification?
Replace the item Has the supplier agreed, when will it be ready and who pays each movement?
Supply missing pieces What exactly will be supplied, and will the shipment wait or split?
Ship unaffected lines Is separation available, and what revised packing and transport costs apply?
Return or cancel What acceptance conditions, deadlines and refund terms apply?

Compare the overall effect on your repair or stock requirement. A replacement may solve the specification problem but change the cargo-ready date. A split shipment may help an urgent order but require separate handling and freight. Obtain actual available options rather than assuming either arrangement is offered.

JTLGO's Terms of Service distinguish inspection services from third-party product-quality issues and refer to transaction-specific agreements. Use the applicable order documents to confirm responsibilities; this checklist does not assign liability or promise compensation.

Record the decision and refresh the shipping information

Once you choose an option, identify the lines covered by your decision and any remaining conditions. A general “okay” can be difficult to interpret if one message discusses replacement, packing and dispatch together.

Ask the relevant party to acknowledge the instruction. If the item or quantity changes, update the item list and request revised package information where needed. A substitute may also change special-cargo characteristics, so flag any new battery, fluid or safety-device details for review.

Before approving the next step, check that the issue has a documented outcome, the replacement evidence matches that outcome, unresolved questions remain visible and the latest quote reflects the revised shipment. Keep the final confirmation with the original discrepancy card.

Frequently asked questions

Should I approve shipping while the supplier checks the part number?

Decide only after understanding the unresolved risk and the available alternatives. Ask whether a hold is possible first. Shipping does not resolve a technical identification question and may change the practical return options.

Can a warehouse photo prove that an item is missing?

It depends on what was photographed and counted. Ask whether all relevant packages and contents were covered. A limited image supports only a limited observation.

Does a wrong number automatically qualify for a refund?

No automatic outcome is established here. Ask the supplier to respond to the evidence and confirm the applicable order, return and refund terms. Keep any agreement in writing.

What if the goods have already left the warehouse?

Ask for the last confirmed handling stage and available intervention options. Do not assume recall or redirection is possible. Tell the supplier about the discrepancy and preserve the evidence for the next agreed action.

Send a clear pre-shipment question

Contact JTLGO about your pre-shipment discrepancy. Include the order reference, affected lines, expected and observed details, and supporting photos. Ask what can still be checked or paused, with any applicable costs, before deciding how the order should proceed.

Prepare a specific inquiry

Send supplier links, new/used/refurbished condition, quantities by SKU and the visible details to check before dispatch. Basic warehouse photos document appearance; they are not functional tests or technical certification. Agree any extra inspection scope separately.

Request a supplier and QC review
